Although a resident's passcode can be found under the Units tab if they forget it, there are other situations that might require a new passcode to be generated.
Current Resident
To create a new passcode for a current resident you will need to go to Units.
Find the unit associated with the resident and on the right-hand side click “Edit.”
On the right-hand side, there will be a pop-up. Under Action choose ‘Generate New Passcode.’
Leave the passcode box blank to let it autogenerate, or enter a passcode of your choice (recommended 4-6 digits).
Enter information in the Notes section, which can just be “roommate moved out” or whatever is applicable (this is required to reset the passcode).
Click “Save” to create a new passcode for the resident.
New Resident and Move Outs
To create a new passcode for a new resident you will need to go to Units.
Find the apartment associated with the resident and on the right-hand side click “Edit.”
On the right-hand side, there will be a pop-up. Under Action choose ‘Turn Over Apartment.’
Enter information in the Notes section, which can just be “move out” or whatever is applicable (this is required to reset the passcode).
Click “Save” to create a new passcode for the new resident. Note that when you generate this new passcode it will archive and clear the old information associated with it.
Transferring Apartments
A resident’s information can be moved with a resident if they transfer apartments.
Steps:
To transfer a resident you will need to go to Units.
Find the apartment associated with the resident and on the right-hand side click “Edit.”
On the right-hand side, there will be a pop-up. Under Action choose "Transfer Apartment."
Under 'Transfer to’ choose the apartment the resident needs to be transferred to.
In the ‘Notes’ section remember to add a quick note as to why the resident is transferring (i.e. moving to 2 Bedroom Apt). Click “Save” to transfer the apartment and save your work.
NOTE: Leave the passcode box blank to let it autogenerate, or enter a passcode of your choice (recommended 4-6 digits).
TIP: When transferring a resident, the apartment’s histories and passcodes switch. Make sure the apartment they are moving to has been turned over before transferring when applicable.
TIP: In all cases, the notes section is required to change the passcode and/or move out the old resident. If a note is not added then it will not allow you to change the passcode or transfer the resident.
TIP: If you already have passcodes you would like residents to use for Amenity Boss (please note they have to be 4-6 digits and numbers only) please email [email protected]. We can upload those for you if there are provided in an excel or CSV format.
